The quality of a quote depends on the quality of the request. A vague inquiry — "please quote 1,000 custom tumblers" — produces a vague number that changes the moment production details emerge. A complete inquiry produces a quote you can compare, approve and hold suppliers to.

Why a Detailed Request Gets a Better Price

Suppliers price what they can see. When a request is incomplete, the supplier has two options: ask follow-up questions (slow), or quote the cheapest possible interpretation of your request and adjust upward later when details firm up (worse).
A complete request does three things at once:
  • It lets the supplier quote the real specification — material, customization and packaging all fixed — so the number you receive is the number you will pay.
  • It makes quotes comparable. When two suppliers receive identical specifications, unit prices can be compared directly; when specifications differ, price differences are meaningless.
  • It signals a serious buyer. Suppliers allocate their best pricing and attention to buyers who arrive prepared. A complete brief often produces a better quote than a vague one for the same order.

How to Compare the Quotes You Receive

When quotes arrive, do not start with the unit prices — start with the specifications. The comparison order that prevents mistakes:
  1. Check the specification line by line. Material, dimensions, customization method, number of logo positions, packaging level. Two quotes compared on unit price alone frequently compare two different products.
  1. Confirm the quantity tier. A quote at 3,000 pieces is not comparable to one at 500. Normalize to the same quantity before comparing prices.
  1. Separate the setup fees. One-time costs (screens, plates, digitizing, molds) should be listed separately. Add them to reach a true total, rather than reading them as part of the unit price or missing them entirely.
  1. Check what shipping includes. A delivered (DDP) quote and a factory-gate (FOB) quote differ by 20–40% on small orders. Compare on the same Incoterm.
  1. Verify MOQ compatibility. A quote that is cheapest at 1,000 pieces is not useful if your requirement is 400. Compare the price at your actual quantity.
  1. Check the response quality itself. A supplier who answers every question in your request, notes assumptions, and provides alternatives is showing you how they will handle the order. Response quality during quoting correlates strongly with communication during production.

Five Mistakes That Slow Down Your Quote

Sending a logo with no placement or method guidance. The supplier must guess; the quote arrives with assumptions you then have to correct. Attach the logo, state one or two positions, and say whether you have a method preference.
Omitting the packaging decision. Packaging is the most common source of quote revisions. Even "standard packaging only, no custom" is a useful instruction — it fixes the specification.
Asking for "best price" with no quantity context. Price is a function of quantity. Requesting quotes at two or three tiers at once costs nothing and reveals the price structure.
Leaving out the delivery destination and date. These determine shipping mode and cost — without them, the shipping line of the quote is meaningless or absent.
Requesting from dozens of suppliers simultaneously. Beyond a certain point, more quotes add noise rather than information. Three to five serious quotes with complete specifications give a better basis for a decision than fifteen vague ones.
